VIEW UPDATE BUYERS LIST
Purpose
To resolve rare cases where funds are wired from our corporate account (with buyer’s name in wire note) but the dealership refuses to apply them. This SOP protects the deal or ensures funds are returned within 48 hours prior to taking legal action.
Always include the retail buyer’s name in the wire note.
Keep Purchase Agreement / BOS showing buyer’s name ready.
Have wire confirmation screenshot ready.
Introduction
“This is [Name], Manager assisting [Buyer’s Name]. I’m stepping in to clear a payment issue.”
“Please note this call is recorded for compliance.”
Confirm Contact
“Are you the Manager / Controller on this file?” (note name/title).
Frame Context
“Funds for [Buyer’s Name] were wired yesterday. The remitting account belongs to our payment facilitator, which is why the wire shows a corporate name. The buyer’s name is clearly referenced in the wire notes.”
Push for Application
“Please confirm receipt and apply the funds to VIN [____]. The buyer expects delivery as per agreement.”
If Dealer Refuses
“If you will not proceed, then return the funds immediately to the remitting account. Our expectation is that reversal confirmation is provided within 48 hours.”
Escalation
“If you can’t clear this, escalate to your Dealer Principal or GM right now.”

If dealer resists:
“These funds were remitted on behalf of the buyer. If you cannot apply them, you are unjustly enriched and must return them promptly. Our expectation is 48 hours.”
(This uses the “unjust enrichment” legal term without exposing your corp role.)
