VIEW UPDATE BUYERS LIST
Purpose
Ensure the accuracy of vehicle details and prevent misunderstandings by collecting factual information before entering a formal negotiation. An anonymous inquiry is used strictly for information gathering and to confirm accuracy before a buyer(facilitator) identifies themselves.
An early, general-information call allows:
Verification of whether a vehicle is new or previously driven
Confirmation of mileage
Confirmation of optional equipment (e.g., PPF, accessories)
Clarification of availability
Clarification of any dealer-installed items
Clarification of any cosmetic or transport-related markings
This process reduces the chance of errors when the buyer officially engages the dealership.
Step 1 — Gather Listing Information
Collect the VIN, stock number, and any posted description.
Save this to the vehicle file.
Step 2 — Anonymous General Inquiry Call
Using a neutral/dummy phone number, call the dealership’s sales department and ask general product questions to confirm the accuracy of the listing.
This is a common automotive practice for verifying market information.
Questions to confirm:
Whether the vehicle is new or demo
Current mileage
Whether PPF or accessories are installed and where
Whether the unit has any noted cosmetic issues
Whether the VIN is available for immediate sale
Whether a deposit or hold exists
This step ensures the buyer understands the true condition before proceeding formally.
Step 3 — Request Photos (If Needed)
If clarification is needed, request photos from the salesperson:
Exterior walk-around
Odometer
Interior
Window sticker
Any areas where PPF is claimed
This helps confirm accuracy of the listing.
Step 4 — Compare With BOS Draft
Once a BOS draft is provided:
Mileage must match the inquiry
Optional equipment claimed must appear in the BOS
Trim, colours, and pricing must match
No details should change unexpectedly
Any inconsistencies must be clarified before approval.
Step 5 — Proceed to BOS SOP
If all information is consistent and accurate, move forward using the BOS process.
